Position Title: Summer Student – Administrative Assistant

 

Position Type: Temporary Full-Time or Part-Time from April 22 till September 30, 2024

Position Hours Commitment: 35 hours per week for 8 weeks, all onsite, at $16.55 per hour

Responsibilities

  • Provide office administrative support to the agency
  • Greet clients; answer, screen and direct telephone calls
  • Enter and verify information or data in existing formats or databases
  • Maintain documentation & filing of Health & Safety Policy and other administration duties as required
  • Assist updates on social media and marketing materials and program outreach
  • Provide support, create posters and materials for activities and events
  • Prepare auditing package for agency’s upcoming accreditation process
  • Attend meetings as needed, takes minutes and circulates minutes
  • Photocopy, scan and upload documentation, send and receive fax or email as requested
  • Assist with inventory database setup
  • Perform any other related duties as requested

 

 

 

Qualifications & Skills

* This vacancy is funded by the Canada Summer Job program. Eligibility requirements must be met: 15-30 years old; AND either a Canadian Citizen, Permanent Resident, or Convention Refugee.

  • Completed a secondary, post-secondary, vocational or technical educational program.
  • Candidates with experience in social service, non-profit, or related field preferred.
  • Basic understanding of finance, human resources, customer service, and office administration.
  • Proven ability to exercise high level of confidentiality
  • Fluency in Verbal & Written English and Chinese (Mandarin and/or Cantonese). Vietnamese an asset.
  • Proficiency in MS Office software programs and usage of Internet.
  • Excellent communication, interpersonal, and time management skills.
  • Ability to work independently and as a team member.
  • Willingness to work days / evenings, and occasional weekends as required.
  • Clearance from a Vulnerable Sector Police Screening.

Community Family Services of Ontario offers linguistically sensitive and culturally responsive counselling, psychotherapy, family therapy, newcomer settlement, disabilities and special needs services to enhance the functioning and the quality of life of individuals and families of East Asian descent in Ontario.

Position Title: Settlement Counsellor

Position Type: Contract Full-Time, till March 31, 2025, with possibility of extension

Start Date: June 1, 2024

Supervised by: Settlement Program Manager

Major Responsibilities

  • Plan and organize settlement-related group activities and workshops; Promote and conduct 1-on-1 needs assessment, information, orientation, referrals in sync with funder and agency requirements.
  • Provide public education on international qualifications conversion & licence articulation to newcomers.
  • Manage, plan and monitor settlement, information and referrals programs as described by funders.
  • Participate actively in external community partnership development, networks, proposal, research, evaluation per funder agreement and special project development.
  • Develop & implement service plans for clients; Provide crisis intervention for emergency situations.
  • Prepare accurate & complete case notes & records, correspondences, reports & other written materials.
  • Maintain statistical reports and follow different reporting requirement according to programs.
  • Maintain strict confidentiality as outlined in agency privacy and confidentiality policy.
  • Deliver client service in a professional, respectful, calm, and nonjudgmental manner.
  • Work as a team player to jointly deliver on departmental goals under the supervision of the Settlement Program Manager, and the leadership of the Executive Director, in line with the overarching CFSO goals.
  • Other duty/assignment as reasonably assigned by the Executive Director and/or Community Service Supervisor and/or Settlement Program Manager.

Qualifications & Skills

  • Graduate of a 3-year Community Service Program in a Community Service or an equivalent field.
  • At least 1 year of experience in newcomer settlement service.
  • Knowledge and experience in newcomer, youth, career, and language training services.
  • Knowledge of sensitivity and commitment to serving the Chinese community in Ontario.
  • Advanced supervision and service skills in newcomer settlement.
  • Knowledge of laws and regulations around immigration, refugee, and citizenship.
  • Fluency in Verbal & Written English and Mandarin &/or Cantonese; other Asian languages are assets.

Position Title: Settlement Program Manager

Position Type: Contract Full-Time, till October 2025, maternity leave coverage

Start Date: Immediately

Major Responsibilities

  • Provide settlement and sector advice to Executive Director to ensure sustainable quality and compliance.
  • Advise and supervise a team of settlement workers on operations, professional training & risk mitigation.
  • Practice settlement services by conducting one-on-one needs assessments, information and orientation, case management, referrals, program development, event planning, and community outreach for clients, and maintain documentation and reporting according to college, funder, and accreditation requirements.
  • Manage, plan, and monitor agency operations and programs as members of the management team.
  • Participate in recruitment, training, and resource development for the agency.
  • Act as the resource person for the most updated industry best practices, immigration policies, funder, college, legal & accreditation standards; to ensure compliance implementation and staff training.
  • Act as agency liaison for external settlement service organizations, partners, and funders
  • Act as ambassador for agency’s settlement practice via participation in research, media interviews, public education, staff education, and marketing according to agency’s strategic plan.
  • Assist the Executive Director with funder reporting process and proposal writing for funding.
  • Maintain strict confidentiality as outlined in agency privacy and confidentiality policy.
  • Supervise students and volunteers.
  • Other duty/assignment as reasonably assigned by the Executive Director.

Qualifications & Skills

  • University Bachelor degree or above in a Social Work, Immigrant Settlement or an equivalent field.
  • 5 years of experience in Canadian settlement work & 2 years in progressive management duties.
  • Knowledge of sensitivity and commitment to serving the Chinese community in Ontario.
  • Knowledge of laws and regulations around immigration, refugee, and citizenship.
  • Fluency in Verbal & Written English & Mandarin &/or Cantonese. Other Asian languages are assets.
  • Proficiency in MS Office software programs and usage of Internet.
  • Excellent communication, interpersonal, and time management skills; as individual and in a team.
  • Flexibility and willingness to work days / evenings, and occasional weekends as required.
  • Registered in OCSWSSW as Social Worker and in Good Standing; Vulnerable Sector Police Clearance.
